Why Guest Passes Change Onsite Outcomes

Your guest passes are relationship-building assets that will help your team prioritize time with current customers and priority prospects alongside the broader HR Tech experience. Used this way, they allow you to:

Focus your team's time onsite on accounts that matter most
Your team spends less time qualifying interest and more time advancing known opportunities.
Pre-set meetings for onsite instead of relying on chance encounters

Invited guests arrive with context and intent, making it easier to schedule time and avoid “catch-me-if-you-can” booth conversations.

Bring multiple stakeholders from the same account onsite at once
Guest passes remove friction for broader buying teams to attend together, enabling more complete conversations.
Anchor onsite conversations to existing relationships
Discussions start further along because the relationship already exists — not at first introduction.

Timing Matters

HR professionals rarely decide to attend conferences at the last minute. Attendance typically requires advance notice.

May and June are reasonable times to begin outreach for an October event as many HR professionals are actively shaping their fall schedules. Invitations sent later can still be successful, but earlier outreach helps avoid situations where interest is high and availability is limited.
