Photography, Video & Audio Recording Policy

Photography, video recording, audio recording, livestreaming, and other content capture activities are permitted only as authorized by Conference Management and in accordance with this policy.

Authorized content creators may include:

  • Individuals who have received media, analyst, podcaster, or content creator credentials from HR Tech
  • Photographers or videographers accompanying credentialed media, analysts, podcasters or content creators (must be approved and credentialed separately by HR Tech).
  • Vendors and contractors engaged by HR Tech to capture official event content.
  • Exhibitors capturing content within the confines of their own booth space,  subject to the applicable exhibitor agreement and event rules.

Recording & Coverage Guidelines

Authorized content creators may photograph, record interviews and create editorial coverage of the event in accordance with their credentials, this policy and any additional restrictions communicated by Conference Management.

Handheld video, brief on-camera stand-ups and general event B-roll may be captured in open event areas, provided the activity does not:

  • Obstruct aisles or interfere with event operations.
  • Disrupt exhibitors, attendees, speakers or scheduled programming.
  • Capture private conversations or attendee information without permission.
  • Focus on an exhibitor’s booth, display, demonstration or products without that exhibitor’s permission.
  • Capture presentation content or other restricted areas or activities.

Formal or produced video interviews involving a dedicated videographer, tripod, lighting, freestanding microphones or other production equipment must be conducted in front of the step-and-repeat at the designated HR Tech Content Corner on the Expo floor, across from Booth 3404.

The Content Corner will be available on a first-come, first-served basis during Expo hours. Reservations are not available, and access cannot be guaranteed. Conference Management will monitor use of the area to ensure fair access and may ask users to conclude their recording if they are occupying the space for an extended period while others are waiting.

Equipment may not be stored or left unattended. Equipment may not block aisles, neighboring exhibits, entrances, exits or attendee traffic. Conference Management reserves the right to relocate, limit or discontinue any recording activity that creates safety concerns or interferes with event operations or the attendee experience. 

Recording, photographing, livestreaming, broadcasting or otherwise capturing all or a substantial portion of any keynote, session, presentation, workshop or other educational content is prohibited unless expressly authorized by Conference Management.

Official event recordings may be produced by HR Tech and its authorized vendors and contractors. Approved presenting organizations may record sessions in which they are participating only with prior authorization from Conference Management.

Filming or photographing inside an exhibitor’s booth requires the exhibitor’s permission.

Exhibitors may photograph or record activity within their own booth space in accordance with their exhibitor agreement and event rules. Their content may not intentionally capture neighboring booths, other exhibitors’ products or displays, attendee information, presentation content or other restricted areas without permission.

Conference Management reserves the right to restrict or prohibit any content-capture activity that interferes with event operations, attendee experience, exhibitor activities, safety or the intellectual property and privacy rights of speakers, exhibitors, sponsors, attendees or other participants.

Conference Management may require any unauthorized or disruptive content-capture activity to cease immediately.

Unauthorized recording, distribution, reproduction or commercial use of event content may result in removal from the event, revocation of credentials and/or exclusion from future HR Tech events.
